License Compliance Window
The License Compliance Window displays view-only information about the features for which you are licensed and information about the users currently accessing Xytech. This window allows the Super User to determine if the Licensing has been set up according to their purchase of Xytech and to see if they are using all their seat licenses too quickly and need to have more added. Xytech licenses are maintained through the delivery and application of licensing files, if licensing needs change (e.g. more seats required, licenses have expired).
You can open this window via the Settings option in the menu bar at the top of the Navigator.
AREA DEFINITIONS
Current Users
This area lists the users currently logged into Xytech, the date and time they logged in, the names of the users’ computers (Client Field), and, if you are using the MULTIPLE APPLICATION SERVER feature, the name of the server each user is accessing to use Xytech.
NOTE
To manually log one or more selected users out of Xytech, use the Log Off Selected Users Actions Button menu command. (See below for usage details.)
Selected User
This area displays the modules / features that the user selected in the Current Users Area has access to. Write seats are distinguished from read seats by a notation indicating Read or Write at the end of the module / feature name.
License Detail
This area displays all the modules / features available for Xytech, the number of “write seats” and “read seats” you have available for each module / feature, the number of users occupying a particular seat for each module / feature, and the date your license expires for each module / feature. Also listed are additional features for which you are licensed, such as, the Report Designer, Xytech Web Client, and the Xytech API.
- “Write seats” refers to the count of users who may edit (i.e., write to the Xytech database) records in a particular module / feature. The 'Max Write Seats' field displays the maximum number of users who may edit records in each module and feature. If the number in this field is zero (0), you are not licensed to use that module / feature. The Current Write Seats Field displays the number of users who are currently occupying a write seat in the corresponding module / feature.
- “Read seats” are very similar to write seats but reflect the count of users who have view-only access to certain modules / features.
The Value Field is used to display whether or not an additional feature has been licensed (a value of Y for “yes” and N for “no”), which language pack has been installed, or the number of API calls allowed per hour.
Example Name and Value Field Items > Language Packs & API/Hour
USAGE
When a user logs in, the system reserves one write seat in those modules / features for which they have edit-level security. If a user has view-only level security, a read seat is reserved in a similar manner.
As long as there is at least one module / feature with available seats, an additional user can log in. If a user with edit-level security tries to access a module / feature for which there are no write seats remaining, Xytech will try and reserve a write seat or display an error message indicating that your license limit has been exceeded. If all read seats have been reserved for a module / feature, the same will be true for those users who try to log in with view-only access.
NOTES
- Refer to the ESTABLISHING SYSTEM SECURITY STEP-BY-STEP topic for details on creating security roles that allow user view-only or edit-level security.
- For users who only have edit-level security for the Time Card and / or Purchase Order Modules, a Core seat will not be reserved.
For example: You are licensed for 10 Core write seats and 15 Purchase Order write seats. In this instance:
- Only 10 users occupying Xytech Core write seats can be logged in concurrently.
- Only 15 users occupying Purchase Order write seats can be logged in concurrently.
- If no Core users have security for Purchase Order applications, then an additional 10 Purchase Order users can log in at one time for a total of 25 total users.
- Two entries, "Can Use Mobile Schedule Book" and "Can Use Mobile Timecard", are available to grant access to significantly improved ‘My Schedule’ and ‘Mobile Time Card’ features via mobile handheld devices
- User count anomalies may occur when users are logging in and out. It may take a brief period before the license counts reflect reality.
Selected Detail
This area displays the users who are occupying a seat for the module / feature selected in the License Detail Area. Write seats are distinguished from read seats by an asterisk * to the left of the user (i.e., read seats have the asterisk).
NOTES
- In a multi-server environment, each application server will monitor the others’ accessibility every 30 seconds. If one server goes offline, the other(s) will be aware and will release any site licenses held by the inactive server. If possible, the client will attempt to automatically connect to a different server. In the event that a connection cannot be established the user will have to disconnect and log in again.
- Some sites have had issues regarding running out of licenses, especially with the Xytech Web Client. This can be caused by Users who close their browser without logging out. This will cause the session to stay open for 24 hours. To help cobat this issue, Xytech recommends setting the User Log Out Time (minutes) in the USER SETUP to 60 minutes or less. See the USER SETUP section for further information about this setting.
